Position Overview

We are seeking a highly organized, detail-oriented, and process-driven Administrative & Marketing Operations Coordinator to join our global Marketing organization under a permanent, full-time remote framework open exclusively to candidates based in Mexico. Reporting directly to the Marketing Director, you will step up to claim absolute contract tracking, purchase order management, event logistics coordination, and weekly performance reporting accountability. Shifting completely away from routine general data transcription, basic entry-level call center scripts, or backend developer coding, you will run an active Key Opinion Leader (KOL) operations, campaign budget auditing, and cross-functional task management laboratory—collaborating directly with internal creative, content, sales development, and partner success teams. This position requires an execution-focused coordinator with 2+ years of experience who manages influencer engagements fluidly natively using Affiliate Marketing paradigms, monitors actual financial spend against corporate commitments cleanly, and builds accurate pipeline metrics dashboards confidently to ensure no deliverables or payments fall through the cracks.

Key Responsibilities

  • KOL Operations & Financial Governance: Manage purchase orders, contracts, invoicing, and payment milestones for external KOL engagements, ensuring contract execution through DocuSign and tracking agreement compensation metrics cleanly natively utilizing Affiliate Marketing parameters.
  • Budget & Administrative Tracking: Maintain centralized tracking dashboards for marketing, event, and content-related expenses, monitoring financial commitments to provide clear spend visibility to internal stakeholders.
  • Event Operations Orchestration: Coordinate event logistics, multi-stage timelines, contracts, and speaker participation details, managing localized workflow trackers inside Asana and preparing presentation materials or lead capture modules.
  • Content & Webinar Production Coordination: Track comprehensive content execution lifecycles across video, podcast, and webinar lines, partnering with internal creative squads and third-party vendors to safeguard delivery deadlines.
  • Performance Attribution & Reporting: Pull down pipeline data from tools such as Salesforce and PartnerStack, structuring weekly performance reports for KOL, webinar, and referral initiatives.
  • Process Improvement: Establish internal administrative documentation, process guides, and task trackers to support remote execution speed and cross-functional visibility.

Required Skills & Qualifications

  • A minimum of 2+ years of professional history operating within an administrative support, operations coordination, marketing operations, or closely related commercial function.
  • High-Clarity Communication: Exceptional written and verbal communication strengths in English, with an established capability to drive proactive task follow-up with external creators and internal stakeholders.
  • Proven capacity to manage multiple projects, tight deadlines, and complex data tracking systems simultaneously with minimal top-down supervision.
  • Strong digital toolset proficiency, displaying advanced operational command over Google Workspace (Docs, Sheets, Slides) or Microsoft Office suites.
  • Location Context: Position operates under remote geographic guidelines open exclusively to qualified operations professionals residing permanently within Mexico .

  • Hands-on experience with invoicing, billing structures, purchase order software, or financial coordination.
  • Familiarity with digital contract management platforms (such as DocuSign) and modern project mapping environments (such as Asana).
  • Prior experience supporting digital webinars, podcast networks, multi-media content production pipelines, or structured channel partner programs.
  • Basic design skills using Google Slides, PowerPoint, or Canva to format presentation assets.
